Large Format Printing: What should a proof establish?

Approve spelling, cropping, colour expectations and finishing separately. For colour-critical work, agree a proof using the intended material and process. A correct PDF can still produce an unsuitable result if the output conditions or finishing arrangement differ from what was assumed.

Hypothetical example

Put the decision in context.

A PDF has correct content but the crop removes an important detail. Approve the final size and sectional proof before the full run.

Take these points into your brief.

Use this checklist to record what is agreed and what still needs confirmation.

  1. Content and cropping proof
  2. Material and colour expectation
  3. Finishing and acceptance method

For each item, keep the requirement, the supporting file or observation, and the person responsible for confirming it together.

Check delivery: your next step

Use the approved specification as the acceptance reference and record observations, not just a general impression. Separate items accepted, items needing correction and items outside the agreed scope. Assign a responsible person and next action to unresolved work. Keep the final version and relevant evidence together so a later support request can identify what was actually delivered.
