Keep approved wording separate from visual inspiration
Reference images help explain a preferred finish, but they are not permission to reproduce another business’s logo or a technical instruction. Supply the artwork you are entitled to use, approved wording and the intended language versions. Record the person responsible for the final text check.

Measure the surface and its constraints
Record the proposed sign area and show nearby doors, windows, existing services and access limitations. A production team may need a site survey before confirming the mounting method. Do not drill, alter wiring or remove an existing installation based on an online illustration.
- Straight-on photo plus wider context.
- Available measurements with units and how they were obtained.
- Known access restrictions and landlord contact route.

Approve the view customers will actually see
A close-up artwork proof can hide a legibility problem. Review a scaled elevation and consider the normal viewing distance, obstructions and lighting conditions. Check spelling, proportions and contrast separately from material finish. If colour or texture is critical, agree how the sample or proof will be evaluated.

Record the production release
Keep the approved artwork version, specification and any required permissions together. Changes after release can affect production, access arrangements and submissions. Agree the change process before manufacturing; an old email attachment should not silently become the final file.
